The main purpose of any technical document is to communicate information. Short and clear sentences help readers stay focused.

Avoid figurative language, slang, and complex expressions in technical documents.

At Language Services Bureau, here are some key guidelines:

  • Be simple: Use simple words and grammar for clarity and easier translation.
  • Be short: Avoid long, complex sentences.

    Cut the extra word baggage wherever possible.

    No: If it is possible for the importer... (long sentence)

    Yes: The importer may claim refund if he can:

    • Prove the correct value
    • Produce original documents
    • Deposit exceeds amount due (within one month)
  • Use active voice: Prefer active over passive voice.

    No: Sentences that are too long can confuse the translator.

    Yes: Lengthy sentences can confuse the translator.

  • Be specific: Avoid ambiguity.

    No: bring about an improvement in quality

    Yes: improve quality

  • Be correct: Ensure grammatical correctness.

    No: Incorrect example sentence

    Yes: One electrician is sufficient for all electrical work.

    Yes: Check expansion joints using a spirit level.

  • Be error-free: Review for spelling, grammar, and clarity.

    No: Crush hazards. Do work under hanging load.

    Yes: Crush hazards. Do not work under hanging load.

    Yes: Earthing boss has been provided.
